SleekFlow vs Respond.io for Coaches: DM Costs (2026)

SleekFlow vs Respond.io is a choice between two team inboxes that grew up on WhatsApp and now sell AI agents. SleekFlow puts its AI agents on its first AI plan, Pro, from $109 a month billed yearly, and leans hard into commerce. Respond.io starts cheaper with a shared inbox and unlimited contacts, but its AI Agents, Workflows and broadcasts begin on Growth, from $159 a month billed yearly, and its voice AI sits one tier higher. For a coach or creator whose inbound DMs come from Instagram and WhatsApp, the two land within a few dollars of each other at 1,000 active contacts. The real differences sit elsewhere: phone number fees, seats, how each one handles Instagram comments, and how far each one gets you toward a booked sales call.
Both vendors have published their own "SleekFlow vs Respond.io" page, and each one wins its own comparison. This is the neutral version, written for coaches, course creators and small agencies who run inbound conversations in Instagram and WhatsApp DMs. Every price below was re-checked on sleekflow.io and respond.io on 2 November 2026, and every feature claim comes from the vendor's own pricing page or help center.
We cover the plans side by side, what three real coaching setups would pay on each tool, Instagram and WhatsApp specifics, the AI agents, booking calls, support, the points where the two vendors contradict each other, and where both fall short when your goal is a calendar full of qualified sales calls.
SleekFlow vs Respond.io at a glance
Direct answer: SleekFlow is the cheaper way into AI agents and the better fit for WhatsApp commerce, while Respond.io is the cheaper shared inbox, the wider channel list and the only one of the two with voice AI.
| Feature | SleekFlow | Respond.io |
|---|---|---|
| Known for | WhatsApp-first commerce, native Shopify and VTEX | Omnichannel inbox, widest channel list, calls |
| Entry plan (yearly / monthly billing) | Essential, $49 / $69 | Starter, $79 / $99 |
| First plan with AI agents | Pro, $109 / $139 | Growth, $159 / $199 |
| Active contacts on that plan | 500, tiers up to 2,000 | 1,000, tiers up to 10,000 |
| Seats included | 3 on Essential, 10 on Pro and Premium | 5 on Starter, 10 on Growth and Advanced |
| WhatsApp number fee | $15 a month per number | None |
| Instagram account type | Business only | Business only |
| Comment-to-DM | Flow Builder template with keywords, Pro and up | Auto Private Replies, one fixed message per comment |
| Voice AI | Not offered | Advanced and up, inbound only, 3-minute cap |
| Free trial | 7 days on Pro, 500 contacts | 7 days with Growth features, 1,000 contacts |
| Onboarding | Group sessions on Pro, 60-day dedicated on Premium | Structured program is a paid add-on |
The short answer: pick SleekFlow if you sell products through WhatsApp, want AI agents at the lowest plan price, or need onboarding included. Pick Respond.io if you need many WhatsApp numbers without per-number fees, want calls and voice AI, or run more than about 4,000 active contacts a month, where its Growth tiers get cheaper. If you are a solo coach whose only real metric is booked sales calls, both are bigger than the job, and we explain why further down.
What SleekFlow and Respond.io actually are
Direct answer: both are official WhatsApp Business Solution Providers that sell a shared team inbox, a no-code automation builder, broadcasts and AI agents across Meta's messaging apps and a long list of other channels.
SleekFlow calls itself "the AI suite for revenue-driving conversations". In practice it is a WhatsApp-first platform with native Shopify and VTEX integrations, so its AI agent can read a live catalog, build a cart and drop a payment link in the chat. It is particularly strong on Asian channels like LINE, WeChat and Viber. Our SleekFlow review covers the product in depth.
Respond.io was founded in 2017 in Kuala Lumpur and describes itself as an AI-powered customer conversation management platform used by more than 10,000 B2C brands. Its edge is breadth: WhatsApp, Instagram, Messenger, TikTok, Telegram, LINE, WeChat, Viber, SMS, email, website chat, VoIP and WhatsApp or Messenger calls in one inbox, plus custom channels through the API. Our Respond.io review goes through it feature by feature.
Neither tool was designed around one coach answering Reel commenters. Both were designed around a team of agents handling a steady stream of customer conversations, which is why their pricing counts seats and contacts, and why their best features (routing, lifecycle stages, role permissions) assume several people in the inbox. That is the lens for everything below.
SleekFlow vs Respond.io pricing in 2026
Direct answer: at the plan level, SleekFlow Pro undercuts Respond.io Growth by $50 a month on yearly billing and $60 on monthly billing, and the two vendors' upper tiers (SleekFlow Premium and Respond.io Advanced) cost exactly the same at 1,000 active contacts.
Both pages default to yearly billing, and both discount roughly 20% against monthly. Here is the full card as listed on 2 November 2026.
| Plan | Yearly, per month | Monthly billing | Included contacts | AI agents |
|---|---|---|---|---|
| SleekFlow Essential | $49 | $69 | 500 (flat price on the slider) | No, AI inbox co-pilot only |
| SleekFlow Pro | $109 | $139 | 500 | Yes |
| SleekFlow Premium | $279 | $349 | 1,000 | Yes, with integrations |
| Respond.io Starter | $79 | $99 | Unlimited | No, AI Assist and summaries only |
| Respond.io Growth | $159 | $199 | 1,000 | Yes |
| Respond.io Advanced | $279 | $349 | 1,000 | Yes, plus voice calls |
Both have a custom-priced Enterprise plan on top. Neither lists a free-forever plan anymore. For the full breakdown of each card, see our SleekFlow pricing guide and our Respond.io pricing guide.
How the contact tiers compare
Both tools bill on monthly active contacts (MACs): people you actually talk to in a billing month, not everyone stored in your database. The tier ladders are different, and that is where the totals start to split.
| Active contacts a month | SleekFlow (monthly, yearly) | Respond.io Growth (monthly, yearly) |
|---|---|---|
| 500 | Pro: $139, $109 | 1,000 is the minimum: $199, $159 |
| 1,000 | Pro: $189, $149 | $199, $159 |
| 2,000 (2,500 on Respond.io) | Pro: $249, $199 | $299, $239 |
| 4,000 (5,000 on Respond.io) | Premium: $549, $439 | $399, $319 |
| 8,000 (10,000 on Respond.io) | Premium: $749, $599 | $559, $449 |
The crossover is clear. SleekFlow Pro stops at 2,000 contacts, so above that you either buy add-ons or move to Premium. Respond.io Growth keeps climbing to 10,000 contacts on the same plan, which makes it cheaper from roughly 4,000 contacts a month upward.
Going over your tier works differently too. SleekFlow automatically adds 100 contacts at a time for $20, for that month only. Respond.io bills on-demand contacts at $12 per 100 on Growth and $15 per 100 on Advanced, on a second invoice at the end of the cycle.
What counts as "active" is close on both. SleekFlow counts anyone who sends you a message or receives one from the inbox, the Flow Builder, an AI agent, coexistence or the API, and ignores broadcast recipients who never react. Respond.io counts anyone who sends or receives a message or call in the cycle, excludes broadcasts, but does count failed outbound messages.
The fees outside the plan price
Direct answer: SleekFlow adds a per-number WhatsApp fee and caps connected channels, while Respond.io charges for its onboarding program and for extra seats at a higher rate on its top self-serve plan.
SleekFlow extras:
- WhatsApp number hosting at $15 a month per number. One number is fine; five regional numbers add $75 a month.
- Channel caps: 5 connected channels on Essential, 10 on Pro and Premium, unlimited on Enterprise.
- Extra seats from $15 to $29 per seat depending on the plan.
- Dedicated 60-day onboarding at $999 one time, included in Premium.
Respond.io extras:
- No per-number fee and no channel cap, so ten WhatsApp numbers cost the same as one.
- Extra seats at $12, $20 or $24 per user on yearly billing (Starter, Growth, Advanced), or $15, $25 or $30 on monthly billing.
- The structured onboarding program is a paid add-on, and the price is not published.
- AI credits: Growth includes 10 credits per active contact and Advanced 20. Extra credits cost $15 per 1,000, and the AI pauses once you hit 200% of your allowance.
On both: Meta's own WhatsApp fees sit on top. Respond.io says it adds no markup to them; SleekFlow bills them through its own rate card, so check the rate for your country. Since 1 October 2026, Meta also charges service replies once a number passes its first 1,000 free service messages in a month, and both vendors' help pages confirm it. Our WhatsApp Business API pricing guide explains how the template categories work.
What three coaching setups would pay
Direct answer: at 650 contacts the two tools cost about the same, at 2,000 contacts SleekFlow is cheaper by roughly $35 a month, and at 6,000 or more Respond.io Growth wins unless you need the AI to act inside other systems.
These are list prices for 2 November 2026, before Meta's WhatsApp fees, which are the same whichever inbox you use.
Setup 1: a solo online weight-loss coach. Around 500 new Instagram DMs a month from Reels and story replies, plus 150 WhatsApp chats from a link in bio. One person in the inbox, one WhatsApp number, and an AI agent that answers first questions and shares a booking link.
- SleekFlow: Pro at 500 contacts plus two 100-contact add-ons is $139 + $40 = $179, plus $15 for the number, so $194 on monthly billing. On yearly billing, the 1,000 tier at $149 plus $15 makes $164.
- Respond.io: Growth at 1,000 contacts, $199 on monthly billing or $159 on yearly billing. No number fee.
- Verdict: a wash. The gap is $5 either way, so decide on features, not price.
Setup 2: a fitness coaching team. 2,000 active contacts a month from Reels and click-to-WhatsApp ads, a coach plus three setters, one WhatsApp number.
- SleekFlow: Pro at 2,000 contacts is $249 on monthly billing or $199 on yearly, plus $15, so $264 or $214. Ten seats are included.
- Respond.io: Growth at 2,500 contacts is $299 on monthly billing or $239 on yearly. Ten seats are included.
- Verdict: SleekFlow is $35 a month cheaper on monthly billing and $25 cheaper on yearly.
Setup 3: a nutrition coaching company. 6,000 active contacts a month, twelve people in the inbox, and a wish for the AI agent to check a real calendar or CRM instead of just sending a link.
- SleekFlow: Premium at 8,000 contacts is $749 on monthly billing or $599 on yearly, plus two extra seats and the $15 number fee. Premium is also the tier where SleekFlow's AI agents get integrations.
- Respond.io: Growth at 10,000 contacts is $559 or $449, plus two seats at $25 or $20 each. But if the AI agent must call your scheduling tool itself, you need Advanced for HTTP requests: $989 or $789 at 10,000 contacts, plus two seats at $30 or $24.
- Verdict: Respond.io Growth is the cheapest if booking links are enough. If the agent has to act in other systems, SleekFlow Premium comes out roughly $170 to $240 a month cheaper than Respond.io Advanced, depending on the billing term.
Instagram DMs: comments, account type and the reply window
Direct answer: both connect through Meta's official API and both require an Instagram Business account, but SleekFlow's comment automation is more flexible, while Respond.io gives human agents a longer window to reply.
Account type. SleekFlow's FAQ says personal and creator accounts are not supported. Respond.io's Instagram integration page says the same: a Business account, not a personal or creator one, linked to a Facebook Page. Many coaches run a Creator account for the music library and creator tools, so on either tool you will have to switch. The switch is free and reversible, and our Instagram Creator vs Business account guide covers what changes.
Comment-to-DM. This is the funnel most coaches run: "comment GUIDE and I'll send it to you".
- SleekFlow ships a Flow Builder template called "Reply to post or reel comments". You pick all posts or specific ones, set keywords (contains any, or exact match), add an optional public reply, and send the DM. The Flow Builder starts on Pro.
- Respond.io uses Auto Private Replies under Settings, Channels, Instagram. You set one message for all posts, reels and live stories, or a different message per post. Per its help center, it sends one private message per comment within 7 days of the comment, works on live stories only during the live, and creates a contact only once the person replies. There is no keyword filter in the setup steps: every comment on the chosen post gets the message.
If keyword-specific comment funnels are central to your content, SleekFlow is closer to what you need. Our guide to Instagram comment-to-DM automation explains the Meta rules that apply to both, like the single private reply per comment.
The reply window. Meta allows automated replies for 24 hours after a person's last message. Respond.io supports Meta's human agent tag in its inbox, which lets a human reply for up to 7 days. SleekFlow's FAQ says its Instagram channel works within the 24-hour window without the human agent tag. If you or your setters sometimes answer a day late, that difference matters.
Story interactions. Respond.io lets you choose which story interactions open a conversation, so you can stop emoji reactions from flooding the inbox outside campaigns. That is a small but real quality-of-life feature for creators who post a lot of stories.
WhatsApp: numbers, coexistence and calls
Direct answer: Respond.io is cheaper for several WhatsApp numbers and adds calling, while SleekFlow is the better choice if you want to keep your WhatsApp Business App history when you move to the API.
Numbers. SleekFlow charges $15 a month per hosted number. Respond.io charges nothing per number and markets that point heavily. For one coach with one number, it is $15 a month. For an agency managing numbers for several clients, it adds up quickly.
Coexistence. Both support WhatsApp coexistence, which keeps the WhatsApp Business App and the API running on the same number. The difference is history:
- SleekFlow says it can migrate your contacts and up to 6 months of chats into the API during coexistence onboarding.
- Respond.io's help center says message and contact history import is not supported. Past chats stay visible in the app only, messages sent from the app appear as "echo" messages that count toward your active contacts, and you must open the app at least once every 14 days to keep the connection alive.
For a coach who has two years of warm leads sitting in the WhatsApp Business App, that is a real point for SleekFlow. If you are still deciding between the app and the API at all, our WhatsApp CRM guide lays out the options.
Calls. Respond.io supports the WhatsApp Business Calling API, Messenger calls and VoIP, so a lead can move from chat to a call in the same thread. SleekFlow's own comparison lists VoIP calls as "coming soon". For coaches this is mostly a nice-to-have: the sales call itself usually happens on Zoom or Google Meet after a booking.
AI agents: commerce depth vs voice reach
Direct answer: both sell AI agents that answer from your knowledge, qualify leads and update contact fields, but SleekFlow's agents go deeper into shopping and self-improvement, while Respond.io's go further into voice and idle follow-up.
SleekFlow AgentFlow is included on every plan from Pro, subject to a fair use policy of about 10 AI credits per active contact. It learns from uploaded files and your website, ships templates for lead qualification and appointment booking, and auto-generates batches of test questions before you go live. Its Optimization Hub shows which knowledge article and playbook step produced each answer, flags knowledge gaps and suggests one-click fixes. Integrations that let the agent act on outside systems sit on Premium and Enterprise. Two limits are worth knowing: SleekFlow's FAQ says the agent only replies and does not start outbound conversations, and each AI reply on WhatsApp is billed by Meta as a service message once your free allowance is used, with split replies counted as several messages.
Respond.io AI Agents start on Growth. You can build receptionist, sales, support or custom agents that answer from knowledge sources, collect and update contact fields, move lifecycle stages, assign conversations, trigger Workflows and follow up when a chat goes idle. They understand voice notes and ad context. HTTP requests, which let an agent call an external tool, need Advanced. So does voice: the Handle Calls action answers inbound WhatsApp, Messenger and Telnyx VoIP calls, but only inbound, with a 3-minute cap per call and no human takeover mid-call.
What matters for a coach: neither in-chat carts nor 3-minute voice calls are the job. The job is a fast first reply, a few qualifying questions, an answer to the first objection, a follow-up when the lead goes quiet, and a booked call. On that list, Respond.io's built-in idle follow-up on Growth is the most directly useful feature of the two, and SleekFlow's audit trail is the most useful for keeping the agent on script.
Booking sales calls from the DM
Direct answer: on the entry AI plans, both tools mostly send a booking link; letting the AI book into real availability takes SleekFlow Premium or Respond.io Advanced, and both cost $349 on monthly billing or $279 on yearly billing at 1,000 contacts.
Respond.io lists Calendly, Cal.com and Google Calendar integrations on Growth, which let you share booking links and see meetings inside the inbox. For the agent to query a scheduling platform itself, you build HTTP requests, which are on Advanced.
SleekFlow markets AgentFlow as able to check availability, propose times, confirm the appointment and sync it to your calendar. Its FAQ puts the integrations needed for that on Premium and Enterprise. Calendly connects through Zapier or Make. SleekFlow's own guide to booking appointments on WhatsApp uses the Flow Builder, a webhook and a Zapier Professional plan to write events into Google Calendar, and notes the sync is one-way with no automatic clash check.
The honest takeaway: if a booking link inside the chat is enough, Pro or Growth will do. If you want the AI to offer three real slots and lock one in, budget for the upper tier on either tool, or for a tool that books natively.
Support, onboarding and security
Direct answer: SleekFlow includes more hands-on onboarding at no extra cost, Respond.io offers longer live support hours, and both cover the security baseline a coaching business needs.
- Onboarding. SleekFlow Pro includes group onboarding sessions, and Premium includes a dedicated specialist for the first 60 days. Respond.io's structured onboarding program is a paid add-on, though Customer Success Managers come with its higher tiers.
- Live support. Respond.io says it offers 24/7 human and AI support on every plan. SleekFlow's live chat runs weekdays from 9am to 6pm across its APAC, EMEA and LATAM time zones, with 24/7 AI support.
- Security. Both are ISO 27001 certified and GDPR compliant. SleekFlow also lists SOC 2 Type II and ISO 42001 for AI management. Respond.io lists SSO and two-factor authentication.
- Reviews. Respond.io's own page puts it at around 4.8 out of 5 from 500+ G2 reviews and SleekFlow at around 4.6 from 200+.
Where the two vendors' comparisons disagree
Direct answer: each vendor's comparison page is accurate about its own product and selective about the other, and they directly contradict each other on SSO, support hours and integrations.
Reading SleekFlow's page and Respond.io's page side by side, the conflicts are useful because they tell you what to ask in a sales call:
- SSO. Respond.io's page says SleekFlow does not support single sign-on. SleekFlow's page says both platforms offer it. Ask SleekFlow which plan includes it.
- Support hours. Respond.io claims 24/7 human support. SleekFlow describes Respond.io's live chat as 24/5 with 24/7 AI. Ask for the response time on a Sunday.
- CRM and Shopify. SleekFlow says Respond.io has no native Shopify integration and that sending a new Respond.io contact into HubSpot or Salesforce needs Zapier or Make. Respond.io's Instagram integration page says it syncs conversations and lead data to HubSpot, Salesforce, Zoho and Shopify. Ask Respond.io which of those are native and which run through middleware.
- Scale. Respond.io cites G2 reviews about SleekFlow slowing down at high volumes and publishes a 99.999% uptime figure. SleekFlow points to its SOC 2 and ISO 42001 reports, which Respond.io does not list.
- Price. Respond.io highlights SleekFlow's $15 number fee and channel caps. SleekFlow highlights that Respond.io Starter has no AI agents. Both points are true, and the scenarios above show what they are worth in dollars.
None of this changes the overall picture for a small DM-led business, but it is a good reminder that a "vs" page written by one of the two vendors is a sales page.
Where both fall short for coaches booking sales calls
Direct answer: both are inboxes first, so you still design the qualifying conversation yourself, you pay by contact rather than by result, and nothing about either tool makes the DM faster or more persistent by default.
1. You build the conversation. Both give you an agent and a flow builder. Neither gives you a setter who already knows how to qualify a lead for a high-ticket coaching offer. You write the prompts, the knowledge base, the qualifying questions and the hand-off rules, and you maintain them.
2. The meter counts people, not outcomes. One Reel with a "comment GUIDE" call to action can put 800 new people in your inbox in a weekend. On SleekFlow every one who gets a DM is an active contact. On Respond.io a commenter only becomes a contact once they reply, which is kinder, but every reply still counts whether or not that person is a fit.
3. Speed and follow-up decide the outcome. Across the 828K AI DM conversations we analyzed, 53% died before message 3, and a single follow-up doubled booked calls. A team inbox that waits for a human, or an agent that never re-opens a silent thread, leaves most of that on the table. Respond.io's idle follow-up helps here; on SleekFlow you would rebuild it in the Flow Builder.
4. The close is not the DM's job, and that is fine. High-ticket coaching sells on a call. The DM's job is to qualify the lead and get the call booked. Any tool that promises to "close in the inbox" is selling the wrong thing.
Where SetSmart fits instead
If your business is a coach (or a small team) selling a high-ticket offer, and your leads arrive in Instagram, WhatsApp or Messenger DMs, a dedicated AI setter does the part both inboxes leave to you. SetSmart replies in your voice within seconds, asks your qualifying questions, handles the first objections, follows up when the lead goes quiet, and books the sales call into Calendly, Cal.com, iClosed or GoHighLevel. You take the call; the close stays human.
A few practical differences from the two tools above:
- Instagram Business or Creator accounts both connect, so you do not have to switch account type.
- WhatsApp works on a dedicated number or in coexistence mode, which imports up to 6 months of past chat history.
- Instagram triggers include keyword comments on posts, reels and ads, story replies and story mentions.
- Billing counts AI messages, not contacts. Pro is $97/month with 1,000 AI messages and a free 7-day trial; Scale is $297/month with 4,000. Short qualifying chats fit Pro, while long nurture threads need Scale, so check your average thread length before you pick.
To be fair about what you give up: SetSmart is not a team support desk for ten agents, it has no Shopify carts, no voice AI, and no SMS or website chat channel. If you need those, SleekFlow or Respond.io is the right category.
As Mathis Ladoué, an online fitness coach with 22.4K followers, puts it: "I book 15 to 25 calls per week... without managing a single setter."
Which should you choose?
Choose SleekFlow if:
- You sell physical or digital products through WhatsApp and want native Shopify carts and payment links.
- You want AI agents at the lowest plan price ($109 a month billed yearly).
- You run between 500 and 2,000 active contacts a month on one or two numbers.
- You want keyword-based Instagram comment funnels in the Flow Builder.
- You want to import your WhatsApp Business App history when you move to the API.
- You value onboarding sessions included in the plan.
Choose Respond.io if:
- You need several WhatsApp numbers or many channels without per-number fees or channel caps.
- You want calls in the inbox or voice AI for inbound calls.
- You run more than about 4,000 active contacts a month, where Growth gets cheaper.
- You want a shared inbox with unlimited contacts and no AI, on Starter.
- Your setters sometimes reply a day late and need the 7-day human agent window on Instagram.
Choose neither if: you are a solo coach or a small team, your DMs come mostly from Instagram and WhatsApp, and your single metric is qualified sales calls on the calendar. A team inbox priced per contact and per seat is a lot of overhead for that job.
FAQ
Is SleekFlow better than Respond.io?
It depends on what your conversations end in. SleekFlow is better for WhatsApp commerce, for AI agents on a cheaper plan, and for importing WhatsApp Business App history. Respond.io is better for many numbers and channels, calls and voice AI, and high contact volumes. For coaches booking sales calls, the two are close on price and features at 1,000 contacts.
Is Respond.io cheaper than SleekFlow?
At the entry level, no: SleekFlow Essential is $49 a month billed yearly against $79 for Respond.io Starter, and SleekFlow Pro is $50 cheaper than Respond.io Growth. Respond.io becomes cheaper above roughly 4,000 active contacts a month, when you run several WhatsApp numbers, or when you only need a shared inbox with unlimited contacts.
Does SleekFlow or Respond.io have a free plan?
Neither lists a free-forever plan on its current pricing page. SleekFlow offers a 7-day trial of Pro with 500 active contacts, after which the workspace pauses. Respond.io offers a 7-day trial with Growth features, 5 users and 1,000 active contacts, without broadcasts.
Which is better for Instagram DMs?
SleekFlow, slightly, if you run keyword comment funnels, because its Flow Builder template filters comments by keyword and adds a public reply. Respond.io sends one fixed private reply per comment, but it supports the 7-day human agent window and lets you control which story interactions open a conversation. Both require an Instagram Business account rather than a Creator account.
Can I move my WhatsApp number from SleekFlow to Respond.io?
Usually yes. The number and your approved templates belong to your WhatsApp Business account, not to the inbox software, so they normally carry over. Past chat history stays in the old platform unless you export it, and if you use coexistence, back up your WhatsApp Business App chats before you switch providers.
What are the main SleekFlow and Respond.io competitors?
For WhatsApp-led team inboxes, the usual shortlist adds Wati, Trengo, AiSensy and Kommo; our Wati alternatives roundup compares several of them, and our Kommo review covers the CRM-style option. For Instagram-first creators, ManyChat is the common comparison. For coaches who want the DM qualified and the call booked automatically, a dedicated AI setter is the alternative category.
